AI agents for real estate agencies and rental management

A real estate agency or rental management company receives a steady stream of daily inquiries about the same property through portals such as Idealista, Fotocasa or pisos.com, and a significant share of those inquiries arrive outside business hours. Automating lead qualification, listing copy and tenant support with AI meaningfully cuts the administrative time spent at agencies that have already rolled it out. On top of that sits a regulatory framework that demands stronger advertising transparency: Spain's Ley 12/2023, of 24 May, on the right to housing (BOE no. 124) requires every listing to state the full price including all costs, the cadastral reference and the energy performance certificate (RD 235/2013). Summum IA implements voice and chat conversational agents that qualify buy and rent leads, schedule viewings and generate property descriptions compliant with this framework, without replacing the data-protection layer already covered by Summum Consultoría.

Repetitive work in real estate follows a recognisable pattern: answering the same question from dozens of candidates for the same flat, writing listing copy with a different tone for each portal, and reviewing solvency documentation. A rental manager with 40 properties can spend 15 hours a week manually shortlisting candidates; with an AI agent that calculates the solvency ratio standard in Spain (net income at least three times the monthly rent) and verifies submitted documents through OCR, that drops to under 3 hours a week, with the final decision always left to the human manager.

Summum IA deploys the conversational agent, by voice or by chat depending on the channel the customer prefers, integrated with the portals where real demand lives: Idealista, Fotocasa and pisos.com. Integration runs via API or the MCP protocol, so the agency never has to switch portal or CRM. The same agent generates and updates property listings with generative AI, adapting tone and length to each channel, and applies computer vision to photographs to flag elements that should appear in the listing (fitted kitchen, terrace, garage, lift) or that should not appear under current advertising rules.

Two regulatory limits frame the service. First, Article 50 of Regulation (EU) 2024/1689 (the AI Act), fully applicable from 2 August 2026 under Article 113, requires clearly informing anyone interacting by voice or chat that they are dealing with an AI system; every agent we deploy includes this disclosure from day one. Second, Article 22 GDPR restricts decisions based solely on automated processing that produce significant legal effects, such as rejecting a tenancy purely on a solvency calculation, as the Spanish Data Protection Agency (AEPD) reminds in its guidance on automated decisions and profiling. That is why the Summum IA agent shortlists and prioritises, but the final decision to accept or reject a candidate always rests with a person on the sales team. Data protection for buyers and tenants (consents, retention periods, tenancy clauses under the LAU, Ley 29/1994, amended by Royal Decree-Law 7/2019) is covered by the sister service at Summum Consultoría; this page focuses on the commercial and conversational automation layer.

The AI agents for real estate agencies and rental management process.

The process · four stages
01

Lead flow and portal assessment

We analyse the active portals (Idealista, Fotocasa, pisos.com, own website), daily inquiry volume per property and the current administrative time spent on qualification, listing copy and tenant follow-up, to prioritise where the agent will have the most impact.

02

Conversational agent design (voice + chat)

We define the qualification blueprint (solvency ratio, required documentation, escalation conditions to a person) and the viewing-scheduling flow. The agent is designed to operate over phone voice or chat, whichever channel the candidate uses first.

03

Portal, CRM and document verification integration

We connect the agent to real estate portals via API or the MCP protocol, to the existing real estate CRM, and to the OCR engine that verifies payslips, employment contracts and tax returns against what the candidate declares.

04

Property listing generation and regulatory verification

We configure generative-AI descriptions adapted to each portal and computer-vision review of photographs, including cross-checking the energy performance certificate against RD 235/2013 before each listing goes live.

Frequently asked questions about AI agents for real estate agencies and rental management.

Does the AI agent replace the human real estate agent?

No. The agent shortlists candidates, calculates the solvency ratio and filters repetitive inquiries, but the final decision to accept a buyer or tenant is always made by a person on your team. The design respects the Article 22 GDPR limit on automated decisions with significant legal effects.

Is it legal to assess a candidate's solvency automatically with AI?

The solvency-ratio calculation can be automated, but Article 22 GDPR prohibits basing a decision with significant legal effects, such as rejecting a tenancy, solely on automated processing, as the Spanish Data Protection Agency's guidance on automated decisions and profiling makes clear. That is why the agent delivers a solvency report and a person always signs off on the final decision.

Do you need to disclose that a caller or chat user is talking to an AI agent?

Yes. Article 50 of Regulation (EU) 2024/1689 (the AI Act), fully applicable from 2 August 2026 under Article 113, requires clearly informing anyone interacting with an AI system when this is not otherwise obvious. Every agent we deploy includes this disclosure from the very first interaction.

How does the agent integrate with Idealista, Fotocasa or pisos.com?

Integration runs via each portal's API or through the MCP protocol, which lets the agent query and update information in real time without custom development per platform. There is no need to switch portal or existing real estate CRM.

How is this different from Summum Consultoría's data-protection service for real estate?

They are complementary layers, not competing ones. This page (Summum IA) covers commercial automation: lead qualification, viewing scheduling and listing generation. Summum Consultoría's page covers GDPR compliance for buyers' and tenants' personal data: consents, retention periods and contractual clauses.

Is this for small agencies or only for large property portfolios?

The fastest payback goes to agencies and rental managers with 20-100 properties, where the volume of repetitive inquiries justifies automation without a dedicated support team. It also fits smaller agencies with seasonal demand spikes.
