We train or configure the AI model with your company's vocabulary, products and communication patterns. We define email classification categories, fields to extract and routing rules (what goes to the CRM, what creates a task, what escalates to a manager). We validate with real samples from the historical email archive.

Integration with CRM and communication tools

We connect the AI layer to the corporate mailbox (Google Workspace, Microsoft 365) and to the CRM via the relevant APIs. We configure draft generation, automatic customer record updates and follow-up reminders. We run tests with real data in a pre-production environment before going live.

Frequently asked questions about AI for Email and CRM.

Which CRM platforms are compatible with this solution?

We work with the most common CRMs in the SME market: HubSpot, Zoho CRM, Pipedrive, Salesforce, Holded and Dynamics 365, among others. The only requirement is that the CRM has a write API available. If you use a less widespread CRM or a custom-built solution, we assess compatibility during the diagnostic phase.

Does the AI send emails autonomously or is there always human supervision?

That depends on the level of automation the client decides to deploy. In the most conservative mode — the one we recommend to start with — the AI generates drafts that the salesperson approves before sending. Once the team trusts the quality of drafts for certain categories (FAQ replies, acknowledgements, payment reminders), automatic sending can be enabled for those specific categories, always with the option to revert to manual supervision.

How does GDPR affect AI-based email processing?

Corporate email can contain personal data of customers and contacts, making it a processing activity subject to GDPR (EU Regulation 2016/679). It is necessary to define the legal basis for processing (typically legitimate interest in a B2B context or contract performance), sign a data processing agreement with the AI provider and set retention periods. What about emails in languages other than Spanish?

Current language models work natively in English, French, German, Portuguese and Italian, among others, with performance equivalent to Spanish. If your company receives emails in multiple languages, the system detects them automatically and applies the same classification and extraction workflow. Reply drafts are also generated in the language of the original email.

How long does it take to go live?

A standard project — one CRM, one corporate mailbox, classification into four or five categories and draft generation — can be in production within four to six weeks from the start of the diagnostic phase. Projects with multiple CRMs, ERP integrations or more complex routing rules require a longer timeline that we confirm in the proposal.
